Privacy policy for events of Kindermann GmbH

1. introduction
This privacy policy describes the processes used by Kindermann when participating in an event, in particular with regard to the protection of the personal data of the persons processed and stored during the preparation, implementation and post-processing of the event.

2. why do we need your information?
The following personal data will be processed and used for the implementation of the event as follows:

  • Your contact details to register for the event
  • If associated with an overnight stay, your arrival and departure dates, any preferences, and payment information, if applicable.
  • If catering is provided, possibly data on intolerances and/or allergies as well as food choices, if required.  
  • possibly data about disabilities and other physical limitations, in order to make participation as pleasant as possible and to organize possible necessary measures

If you include personal information about others, for example, your spouse or companion, you agree that it is your responsibility to obtain the consent of such third parties in accordance with applicable law.

The provision of personal information is voluntary. Please note, however, that your participation may not be possible if you provide only incomplete or no information at all.

The data required for your invitation or registration for the event is taken from our central database for customer relationship management or, if you do not yet have a customer relationship with Kindermann , is provided by yourself.

All other data that may be required for the implementation of the event will be provided by yourself if you decide to participate in the event.

3. who can view your data?
Your personal data can be viewed by the following persons/teams in order to carry out the event:

  • Kindermann Employees who are familiar with the organization and implementation of the event. As far as it is necessary for the stated purpose , cooperation with other companies of the Kindermann network takes place.
  • Hotel, speakers, transportation services, caterers, and other third parties needed to conduct the event.
  • Internal and external IT service providers used in the context of technical support for the organization and implementation of the event.

4. data storage
The regulations and/or processes for storing personal data are as follows:

  • Data will only be collected as part of the execution of the event and will not be stored for longer than one year after the event has ended, unless we are required by law to retain the data further.
  • After the expiration of the data storage period (based on the applicable regulations and/or processes), your personal data will be deleted.

5. security
Kindermann is committed to protecting your personal data. To prevent unauthorized access, Kindermann has implemented appropriate technical and organizational measures to ensure the security of your personal data.

All Kindermann employees and any third parties that Kindermann engages to process your personal data are required to keep your data strictly confidential.

6. control over your personal data
Kindermann will not disclose your personal data to third parties (except those mentioned in section 3 above) unless you give us your consent to do so or we are required by law to disclose it.

If you would like confirmation as to whether or to what extent your personal data will be processed for the event, please contact the Kindermann data protection officer.

7. correction, deletion or restriction of access
Kindermann offers you the opportunity to ensure that your personal data is correct and up to date. If you wish to correct, delete or restrict access, or withdraw your consent to the collection or processing of your personal data, please contact the Kindermann data protection officer.

8. recordings at the event
Our events are regularly accompanied by photographers or film teams who take pictures or video recordings ("recordings") of the event. The event recordings are made and published on the basis of the legitimate interest of the controller in pictorial reporting, unless the interests or fundamental rights and freedoms of the data subject, which require the protection of personal data, prevail (Art. 6 para. 1 sentence 1 lit. f DSGVO). The recordings are made for the purpose of public relations and published on our website, our social media channels (including LinkedIn and Xing) or on the event website. The aforementioned storage period does not apply in this case.

9. information to the central CRM system
The information about your participation will be stored in our central CRM system. This storage is based on the legitimate interest of the responsible party in transparent management of the event history, unless the interests or fundamental rights and freedoms of the data subject, which require the protection of personal data, prevail (Art. 6 para. 1 p. 1 lit. f DS-GVO).

10. complaints
If you are concerned about a data protection breach by Kindermann , you can contact the Kindermann data protection officer.

If you do not consent to the data processing or revoke it, we will not be able to consider you further in the organization of the event. Participation in the event will then not be possible.
